As part of this commitment to provide exceptional care, we have updated a few key policies that will take effect today, Friday, March 7, 2025. Please review the following important updates to ensure seamless scheduling and continuity of care.

📝 Required Forms
To comply with insurance policies, all required forms must be completed at least 24 hours before your next appointment. For example, if you have an appointment on Monday, March 10, at 10:00 AM EST, your pending forms must be submitted by Sunday, March 9, 2025. Failure to complete these requirements will result in your appointment being canceled. You can sign into your client portal to view all pending forms.
💳 Credit Card on File & Updated Cancellation Policy
A credit card on file is now required to secure appointments. Failure to have a card on file will result in your appointment being canceled If an appointment is canceled, rescheduled, or modified within 24 hours of the scheduled time, a $75 fee will be applied. This policy is in place for the following reasons:
We currently have a two-week waitlist. Last-minute cancellations prevent others from booking an appointment with such short notice.
Your appointment time is reserved exclusively for you, and last-minute cancellations result in lost time that could have been used to serve another patient in need.
If your insurance does not cover your first appointment, we do not charge you for that session. Instead we inform you so you can decide if you would like to pay out of pocket moving forward. Unlike many service providers or gyms, we do not charge any upfront deposits or initiation fees for appointments. This policy helps us minimize disruptions, maintain availability for all patients, and continue offering flexible payment options without requiring upfront deposits.
💲 No Surprise Bills - Our Nourish Billing Promise is our commitment to providing a transparent and stress-free billing experience for you! If your appointment gets denied by insurance, or if you run out of sessions covered your insurance, we won’t charge you for the appointment that have already occurred. Those appointments are on us! The only time you are charged is if you no show or modify your appointment within 24 hours of your appointment. Learn more about our billing promise here
🎉 Book On Fridays!
To better serve you, we have extended our availability! In addition to our Monday–Thursday (10:00 AM – 6:00 PM EST) hours, we are now open on Fridays from 10:00 AM – 5:00 PM EST.
⏰ New Appointment Durations – 40-Minute & 55-Minute Sessions
Patients can now book either a 40-minute or 55-minute session. If your insurance plan limits the number of sessions per year, this flexibility allows you to maximize your time with your practitioner. For example, if you only get 10 sessions per year, book all 55-minute sessions to get more time.
🌍 Health Coaching for Continued Support
If you have used all your insurance-covered nutrition therapy sessions, we offer private health coaching to help you maintain your habits and stay on track with your goals. Health coaching is available globally, meaning you can continue working with us whether you are traveling or have family members overseas who need support.

Nourish Billing Promise is our commitment to providing a transparent and stress-free billing experience for you! Here’s our guarantee:
If your appointment gets denied by insurance, or you run out of sessions that are covered, we won’t charge you for the appointments that have already occurred. Those appointments are on us!
If your appointment has a copay or coinsurance, you will never be charged more than the initial estimate for any past appointments until we learn your actual cost. Once we confirm your copay or coinsurance, we’ll notify you via email. For future appointments, you’ll be charged the correct amount.
If your appointment goes toward your deductible, you’ll have two options for appointments that have already occurred:
Pay the deductible and continue with insurance-covered appointments, or
Opt not to pay, and we won’t charge you for past appointments. Future appointments will need to be paid out-of-pocket.
We are here to make sure your focus stays on your care—not your bills.
The charge you are seeing is likely a no-show/late cancellation or rescheduling fee for a previous appointment ($75). Please note that this fee is not covered by insurance as the appointment could not be conducted due to your absence. You can reference our cancellation policy here: https://www.thenourishcenter.com/nourish-consent . For any cancellation or changes to your appointment, we do require 24-hour notice. Unfortunately, these fees are necessary to ensure we are appropriately compensated for time, as we dedicate our expertise and resources to provide quality service.
Note: If an outstanding invoice is not paid, all future scheduled sessions will be placed on hold and may be subject to cancellation.
📌 We require a credit card to be kept on file for all clients primarily to enforce our late cancellation/no-show policy ($75) or for any copays/coinsurance.
📅You will only be responsible for a no-show fee if you fail to show up for your appointment or modify your appointment within 24 hours of the appointment start time.
💰 90% of our patients have nutrition therapy sessions fully covered by insurance, at $0 out-of-pocket cost to them. That said, you will be responsible for any copay or co-insurance payments determined by your insurance policy agreement. In those instances, you will be responsible for those fees. However, we will not charge you without advanced notice.
Yes! You are welcome to pay using HSA or FSA funds.
Most of our patients pay $0 out-of-pocket if using insurance to cover nutrition counseling sessions.
In some rare cases, there are costs associated with using insurance. Our Nourish Billing Promise is our commitment to providing a no-surprise billing experience for you:
If your appointment gets denied, we won't charge you for any appointments that have already occurred. You get those appointments for free.
If your appointment has a copay or coinsurance, you will not be charged more than your initial estimate for any appointments you’ve had until we learn your real cost. Once we learn your actual copay or coinsurance, you will be immediately notified over email. For future appointments thereafter, you will be charged the full copay or coinsurance amount.
If your appointment goes towards your deductible, we'll offer you two options for any appointments that already took place until that point:
You can either pay the deductible and keep doing appointments covered by insurance, or
You can choose to not pay it and we won’t charge you anything for appointments you’ve had. For any future appointments, our out-of-pocket rate is $150 for a 40-minute session.

No need to worry; if your insurance denies payment or your claim goes to a deductible that you don’t wish to contribute to, we will not charge you for any sessions that have already occurred. We will reach out to you personally to determine payment options for future sessions if you wish to continue working with your dietitian.
Any owed copay is determined after we receive the claim back from your given insurance company. This process usually takes between 2-3 weeks but may take longer depending on how long it takes for the insurance company to respond to a given claim.
Your amount of covered sessions is determined by your specific insurance plan. While the vast majority of our patients do not have any visit limits (meaning they can do as many sessions as they want per year), some plans will have visit limits. If you want to verify your benefits or you want more detail on your coverage, you can call the member services number on the back of your card and inquire about your benefits for Medical Nutrition Therapy. If your insurance denies any claims because you reached your visit limit, we will not charge you for any sessions that have already occurred.
